How to import data using ORCA CSV Templates to create your Dynamic Structure

Overview

Welcome to the ORCA Import Guidelines. This article provides an overview of the import functionalities of ORCA and guidelines on how to use them effectively. With the upload via CSV functionality, you can create any type of data in a bulk, such Assets, Contacts, Liabilities, Ownership transactions, Roles, and Valuations. ORCA provides dedicated templates for each of the different upload types.

General Guidelines
  • CSV upload allows you to import Contacts, Assets, liabilities, transactions (ownership and liabilities), roles, and valuations.
  • In each template, you can find examples and comments. Ensure those are removed before you upload your data.
  • In each template, you can find the headers in the row called ''type'' - do not remove this
  • A considerable amount of fields are optional. You can easily identify them in the headers of each template and in the template guides below by noticing โ€˜(optional)โ€™
  • Ensure the columns are in their original order.
  • The first row always contains ''version'' and a digit, which must be retained for Orcaโ€™s internal versioning and should not be altered.

  • Contacts, assets, and liabilities are referred to as items in the template. Ensure that all items engaging in transactions or roles are previously created

Items / Entities Import

  • For each entity, you are required to assign an asset class.
  • A country can be assigned to each entity.
  • The maturity date and issue date is available for loans and mortgages.

Ownership Transactions

  • Multiple transactions are allowed for the same using the same subject and object
    • For instance, you can record several transactions involving the same relationship, such as Richard's purchase of a particular object (e.g., a car, a house, or a company) on more than one occasion.
    • This flexibility allows for accurate tracking of multiple instances or transactions associated with the same owner and object, as well as the capability for multiple owners associated with the same object.
  • There are validations in place e.g a person can NOT own another person
  • Depending on the traded item, the amount type differs e.g. 50%, 1 unit (1 car or 1 art), value in relation to currency 100,000 USD.

Liability Transactions

  • You are allowed to enter multiple transactions under the same liability contract.
  • Each transaction is associated with one Liability. The Liability is required to be created beforehand using the Items / Entities template;
  • When adding a liability transaction, it is mandatory to add to which liability the transaction is referring.

Roles

  • The complete list of available roles is found in the Roles template.
  • You have the option to assign roles to each item within your structure. These roles encompass trust and executive roles, primary contacts, legal powers, geographical associations, and family relationships.
  • For certain roles, you can select the mandate e.g.
    • Role: Board of Directors
    • Mandate: Chairman, Vice Chairman, Secretary, Member
  • For each item, you can add as many roles as you would like to

Market Value

  • You are allowed to import multiple valuations for the same asset.
  • Any asset can have a valuation.
  • For Companies, Funds, Non-Profit Organizations, and Anstalt, you can decide if you want to add the total valuation or simply the price per share.
General Data Format
  • Date format: YYYY-MM-DD e.g. 2023-12-31
  • The digit separator is a dot or period '.โ€™ for number inputs e.g. $101.45
  • Certain currencies may use up to 2 decimal places, as seen in examples like (40.49 EUR).
  • However, currencies such as JPY and KRW do not incorporate decimals.
  • BTC may use up to 8 decimal places.
  • The only exception is for the upload of Market Value, wherein the price per share 4 decimals is accepted

Start uploading your data into ORCA through CSV

Start with the 'Items / Entities' import template to import natural persons, legal entities, and assets. This process creates all necessary cards or the rectangles you see in the picture below in ORCA for your structure chart.

  1. Login to your ORCA Account and ensure you're in the correct Vault for data import.
  1. Start by navigating to the top left of the navigation bar.
  1. Click on your vault name, which will open a dropdown menu.
  1. In the dropdown menu, locate and select "Data Management."
  1. Within the "Data Management" section, click on "Import CSV."
  1. Download the Item / Entities import template

* Please be aware*: Creating a loan as an Item will make it possible to interact with the 'Liability Transactions' import template.

Once completed with the โ€˜Items / Entitiesโ€™ import, move on to other ORCA Templates to add specific details to each entity, transaction, or event.

We suggest prioritizing uploading the โ€˜Ownership Transactionsโ€™ import template to establish relational connections and create the Structure chart.
