Smart Folders: A New Way to Organize Your Files

Are you tired of digging through piles of folders and files to find what you need? Smart folders is the solution you've been looking for.

What are Smart Folders?

Smart folders are a type of folder that automatically organizes your files based on tags and metadata. This creates a dynamic and smart folder structure based on the asset, legal entity, or person. Unlike traditional folders, where you have to manually add files to each folder, smart folders automatically file away documents by adding relevant tags and connecting them to the involved parties.

The Benefits of Smart Folders

One of the best features of smart folders is the powerful search functionality. You can find any document you need within seconds by simply entering a keyword or phrase. This saves time and makes it easy to quickly retrieve important documents.

In addition to organizing your files, smart folders also allow you to securely share up to 1,000 documents at once via dedicated links. This is especially useful for sharing files with colleagues or clients.

Smart folders guarantee consistency (by automatically filing documents) and add flexibility (by ensuring that every document exists only once but can be seen/found anywhere it is relevant) to your document management. With smart folders, you can file and find documents easier than ever before.

How to Use Smart Folders

To get started with smart folders, simply add relevant tags and metadata to your files and let the system do the rest. The moment a document is attached to an Event, the document is automatically enriched with all the metadata from the Event and systematically filed away according to it. Smart folders make it easy to keep your files organized and accessible, no matter what you're looking for or how you want to file and retrieve them.

Understanding Tags

Notion image

By attaching a file to a relevant event, ORCA will automatically attach tags. You do not have to worry about adding tags.

In this example here, You can see that I have attached a document related to Richard Miller selling a house to his brother, Andrew Miller.

  • I added a date in 2023 to the transaction, so the tag #year-2023 will be applied to the file.
  • #house, #transaction, and #purchase-agreement was also added by ORCA.

Thanks to this tagging feature, ORCA will automatically file the document you attach to the specific event into the appropriate folder for you

Understanding Linked To

In the example from the above transaction, you will notice Linked To under Tags

Linked To means you can find the files in the cards of Andrew Miller, House in Zurich, and Richard Thomas Miller.

There is only one file and ORCA helps connect that file to the involved Assets, Entities, or Persons.
