How to manage files in ORCA

Overview

ORCA offers automatic organization of documents by adding relevant tags and connecting them to involved Assets, Entities, or Persons through a dynamic and intelligent folder structure. With a powerful search function, you can find any document you need within seconds. ORCA also allows you to securely share up to 1,000 documents at once via dedicated share links.

How to add new files

Add files to a specific transaction

Directly attach relevant documentation to transactions involving share purchases, company acquisitions, transfer agreements, asset purchases, employment contract agreements, name changes, nationality additions for individuals, and more! The documents will be automatically filed away by being linked and tagged accordingly.

Alternative methods to upload, move, and attach files

How to upload files to the card of an Asset, Entity, or Person outside of a transaction

From your Windows File Explorer or Mac Finder, you can drag & drop directly into the card of the Asset, Entity, or Person. This is beneficial if you intend to attach the file to an event or transaction at a later time.

NOTE* This method won't apply hashtags to your files.

How to move files to a specific folder

Moving uploaded documents and files to any folder will automatically apply a hashtag to indicate the folder location.

  • Simply drag & drop the files to the respective folders.

How to link existing uploaded files to Events or transactions

If the file is already in ORCA but not linked to the transaction, simply attach the file by searching for it. ORCA will automatically apply the relevant hashtags and link the file to the corresponding entities.

How to rename a file

Method 1: Modifying the file name after it has been uploaded into ORCA.

Click on the file name to edit it directly without the need to press 'save'.

Method 2: Modify the file name while attaching it to a transaction from uploading the file from your Windows File Explorer or Mac Finder.

How to add a hashtag to a file

NOTE* Before adding hashtags, consult with your team to establish a consistent process for hash-tagging and maintain uniformity in file management.

When attaching files to events, ORCA will automatically tag them, ensuring optimal file management.

This feature is beneficial when sharing documents with third parties, as it allows you to include notes within the documents.

Search for files in ORCA

Effortlessly locate your files by searching through file names, tags, involved parties, and manually added notes. This is particularly beneficial for efficiently managing a large volume of files.

Utilize the search bar located at the top of the center screen to easily find any word or term within your files

You will find the search bar located in two areas.

  • Files section within the ORCA Menu.
  • Files in the details of any Card of an Asset, Entity, or Person

Share your files

Easily share single or multiple files (up to 1,000) in a single batch. Select the desired documents, opt for a password if needed, include file notes (optional), and share the link with the external recipient. The link will remain active for 30 days.

Access files of a specific Asset, Entity, or Person

Simply click into the card of any Asset, Entity, or Person, then select the ‘Files’ view and access all linked documents associated with them.

Personalize how your files are grouped

Default file sorting is based on type and then by year, but you can customize it to meet your specific requirements by utilizing up to three levels of hierarchy.

The available sorting methods include:

  1. Type
  1. Year
  1. Linked
