How to create a new meeting
- Open the “Meeting” module in the left-side menu
- Click on “New meeting”
Add relevant details
- Focus: Indicates the legal entity being discussed in the meeting.
- Date: Refers to the scheduled date of the meeting.
- Dropdown: Allows for the selection of the appropriate meeting type.
- Location: Could refer to the physical location for an onsite meeting or the link to a video conferencing platform.
- Participant: ORCA will suggest participants based on the roles, ownership, and meeting type selected. For example, if "Board meeting" is selected, all board members will be added to the participant list.
Use the "Agenda" section to create your meeting agenda and link relevant files by using the "@" symbol.
How to link a file from ORCA to a meeting agenda
To ensure that the file is uploaded to ORCA, use the upload function in the meeting or search for the file using the "@" symbol. Once added, the file will be displayed under "Files".
Note: Any file shared via a secure meeting link can be accessed by the recipients.
How to share the agenda with the participants
- Click on the "Share" button.
- Optionally, choose a password for an additional layer of security.
- Copy the link (including the text) and send it to the participants.
- Note: If you have already added email addresses in ORCA, they will appear in the "Participants" section at the bottom and can be easily copied from there.
